Admin Officer, Montreal Office

Human  Concern  International  (HCI)  is  a  registered  Canadian  charity  working  to  change  our  world  by alleviating  suffering and tackling poverty. Established in 1979, HCI’s development projects have helped communities   become   more   self-sufficient   and   the   emergency assistance has helped families  and communities survive during hardships. We work in 42 countries with regional offices and local partners.

We   are   looking   for   a   successful   and   enthusiastic   Admin   Officer who will  work  at the Montreal Office.  The  successful  candidate  will  undertake  administrative  tasks,  ensuring the rest of the staff in the office have adequate support to work efficiently.

The  ideal  candidate  will  be  competent  in  prioritizing  and  working  with  little  supervision. They will be self-motivated and trustworthy.

The  Admin  Officer  ensures  smooth  running  of  our  Montreal  office  and  contributes  in  driving  sustainable growth.

Position Title: Admin Officer

Reporting To: Regional Director

Location: Montreal, QB

Terms: Full time – 35 hours per week

Key Duties and Responsibilities:

  • Coordinate office activities  and  operations  to  secure  efficiency  and  compliance  to  company policies
  • Manage agendas/travel arrangements/appointments etc. for the Montreal staff
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with donor data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Manage volunteer base and divide responsibilities to ensure performance
  • Assist colleagues whenever necessary

 Qualifications, Skills and Experience:

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Experience with Raiser’s Edge is preferred

Due to nature of Charity work must be willing to work additional hours on demand and be

flexible to travel. Evening and weekend work will be expected for events and conferences. Valid License and access to vehicle is preferable.

Regional Fund Development Officer, Montreal Office

We are looking for a successful and enthusiastic Regional Fund Development Officer to initiate and organize fundraising and awareness events from conception through to completion. You will be interacting with leaders and other organizations in the community, and leading collaboration with them.

 

Position Title: Regional Fund Development Officer

Reporting To: Regional Director

Location: Montreal, Quebec

Terms: Full time – 35 hours per week

Key Duties and Responsibilities 

FUNDRAISING, CAMPAIGNS AND EVENTS

  • Oversee the Calgary Regional Office operations, while reporting to the Director of Fund Development
  • Play a leading role in developing the regional fundraising strategy, and with the planning and organization of HCIs campaigns and events
  • Work with community groups to execute fundraising and awareness events that cater to small and large audiences
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
  • Prepare quarterly and year-end reports to identify major donors, giving trends, revenue generation and other key performance indicators.
  • Represent HCI at local events and serve as the primary spokesperson at events and fundraisers

DONOR RELATIONS

  • Manage HCI’s Major Gift, Community Engagement, and Donor Care Program for the Calgary Region
  • Help build a stronger donor base by improving communications with existing donors and cultivating relationships with new donors and local organizations
  • Design and implement strategies to educate donors about HCI’s international and local work

VOLUNTEER MANAGEMENT 

  • Manage the selection, supervision, and engagement of volunteers

Qualifications, Skills and Experience

  • University education, preferably a degree in events planning, fundraising or project management
  • Minimum 2 years experience working in a within a fundraising and or events planning role, preferably with a non-profit organization
  • Excellent interpersonal skills with a customer service orientation and the ability to interact with individuals from a variety of social backgrounds
  • Excellent prioritization and time-management skills
  • Team player with the ability to work independently with little direction or supervision
  • Strong and clear commitment to HCI’s values
  • Fluency in English and excellent written communication skills, fluency in French an asset

Duties and Responsibilities:
Assist in planning, coordinating and executing community events.
Assist in marketing and promoting HCI international development and emergency relief projects.
Assist in existing fundraising initiatives and events in areas of corporate donations/sponsorships, and community-based events.
Identify and develop opportunities and strategies for creating new fundraising initiatives, growing revenue and enhancing community presence.
Assist in identifying new donors and developing initiatives to solicit funding.
Coordinate publicity marketing to ensure the public is aware of fundraising campaigns and projects.
Sustain strong stewardship program to provide accountability to donors, enhance donor retention.
Work closely with the management team to contribute to the overall goals of the organization. Respond to donors email/phone inquiries.
Perform other duties as assigned (e.g. Data entry, donation collection, receipting, bank deposits, volunteer recruitment, etc.)

Requirements/Qualifications: Post-Secondary Education with a concentration in public relations, events planning and/or marketing. Fluent in English (written and verbal). Solid writing ability (e.g., email etiquette, web content, editing ability).
Minimum of three years related experience in multilevel organization. Good organizational skills.
Demonstrated ability to coordinate projects. Work independently, collaboratively, creatively and with initiative. Must have good computer skills (Microsoft office-Publisher; Adobe Illustrator, In design and Photoshop, web design skills; desktop publishing software).
Willingness to travel.
Possession of a car and a valid driver’s licence.

Must be fluent in both English and French.
